Circulation & Borrowing Services

Borrowing

To check out materials from the library you need a current university I.D. card ("Rocket Card") or other state-issued identification such as a driver's license.  Bring the items and your card to the circulation desk.

Your borrowing privileges depend on your status:
Status Loan period* Number of Renewals Maximum # of items
Students (Undergraduate & Graduate) 4 weeks up to 4 50
Faculty & Staff (including Preceptors & Volunteer Faculty) 16 weeks 1 Full time: Unlimited
Part time: 100
Courtesy Card holder 4 weeks 1 2 initially, 25 after card is issued.
OhioLINK Borrowing (regardless of Status) 3 week up to 4 5 items for Courtesy Card holders
*For most materials.  Reserves, multimedia, and other materials may have shorter loan periods.

OhioLINK Requests & Visiting OhioLINK patrons

You may request items from another OhioLINK library to be delivered to the circulation desk at any University of Toledo Library.  OhioLINK requests usually arrive within 3-5 business days and are held for 10 days for pick-up.  You can check your library record's Requests to monitor the status of your OhioLINK requests:  the status will say REQUESTED initially, then IN TRANSIT once it is being sent, and finally OHIOLINK REC'D when your material is ready to be picked up.  You will receive an e-mail at your official University e-mail account. Step by step instructions for OhioLINK borrowing are available here.

When requesting materials through OhioLINK, you can have them delivered to any OhioLINK school, simply select the institution and pick-up location when requesting the book.  This means that a UT patron could have books delivered to Owens Community College, Oberlin, Ohio State, or anywhere else in the state.  It also means that students at any OhioLINK institution can use UT as their pick-up location if it is more convenient for them.

Students and faculty at other OhioLINK schools can check out material from UT libraries, but they must identify themselves as visiting patrons and present their school's ID card (and sometimes a PIN).

Renewing

You can renew your books in person at any University of Toledo Library circulation desk, and you don't even need to have the books with you to renew them if you have a photo ID.  Or, you can renew them online through your library record. Select the item(s) you want to renew, and then click on the Renew Selected Items button (or Renew All) to renew.  Renewals of Mulford Library materials may be made over the phone.

UT items can be renewed online up to 4 times (once for faculty & staff) as long as there are no holds on the item. Further renewals must be made at any Circulation Desk.  Most OhioLINK items can be renewed online up to four times, if no one has put a hold on it at the original library.  Renewals extend the due date from the time of renewal, not from the end of the original loan period.  OhioLINK items can only be renewed during the last week before they are due.

Overdue, Damaged, or Lost Items

You will receive a notice by e-mail before your items are due, however the libraries are not responsible if you do not receive this courtesy e-mail.  Fines for overdue items are $0.25 per item per day, but for OhioLINK books the fine is $0.50 per item per day, InterLibrary Loan fines are $0.50 per item per day, and reserve materials are $1.00 per item per hour.  The fines accumulate up to $25.00 per item for University of Toledo materials .   If you have damaged or lost items from the UT Libraries, in addition to any fines you will be assessed a $20.00 billing fee plus the replacement cost of the book.  OhioLINK Materials materials will be assessed a $125.00 replacement charge after 29 days overdue.  If the item is returned 30 days or more overdue, the charge is reduced to a $50.00 fine.  Users who have damaged or lost items should ask for assistance at the relevant Circulation Desk.

Recalls & Holds

You can place a recall or hold on any item in the library that is currently checked out, however, it may be quicker to order the material through OhioLINK if possible.

Placing a hold on an item means that the book will be held for you when the current user returns it.  Placing a recall on an item means that the current user will be notified that it is needed and they have 10 days to return it to the library.  To place a hold or recall on an item, find the item in the UT Library Catalog and click on the Request button at the top of the screen.   Recalls and holds may not be made over the the phone.

Searching for  Missing Books

If our library catalog says the item is AVAILABLE but it is not on the shelf, please ask at the Reference or Circulation desks for help in locating it.  If library staff cannot find it for you, you may ask the Circulation staff to fill out a Missing Items Form and change the status in the computer to MISSING.  This will allow you to request the item through OhioLINK if there is another copy available in the system.

Courtesy Cards (Non-UT Affiliated Users)

If you are not a current student, staff, or faculty of the University and are an adult who lives, works, or goes to school in Ohio (or are an adult Monroe County, Michigan resident), you may purchase a Courtesy Card for $50 per year.  You will be able to check out 2 items immediately when you apply for your card, and then up to 50 when you receive the card in the mail.  Courtesy Card holders have limited privileges:  they may only request or check out a maximum of five OhioLINK items at a time, may not use Interlibrary Loan services or connect to subscription databases remotely on the Internet.

Current members of the UT Alumni Association, Monroe Community College faculty and students, and Toledo Museum of Art faculty are eligible for a free Courtesy Card. Those enrolled at other OhioLINK schools should see the Visiting OhioLINK Patrons section.  Toledo-Lucas County Public Library cards cannot be used to check out UT materials.

Reading History

A 'Reading History' feature is available to those who wish to keep track of all items that they have checked out of the University Libraries. To turn on this feature for yourself, go to Your Library Record and click on Reading History. You will then be able to opt into the system. Please note that the Reading History is not retroactive, that is, it will only start 'remembering' your checked out items from the time that you opt in. You will be able to delete records from your reading history at any time.  You may wish to familiarize yourself with the disclaimer concerning privacy before opting in.

Other Services

Other services offered at the circulation desk include:
  • Lost & Found: items found in the library are kept here for one week before being turned over to the UT Police Department.
  • Laptops may also be checked out at the Carlson Information Commons IT Help Desk & at the Mulford Library Service Desk.  They may be used in the library for up to 3 hours, and are subject to a $2,500.00 fine if not returned.
